Privacy Policy

This privacy policy ("Privacy Policy") describes how Hart Insurance, LLC ("Hart Insurance", "Company" or "We") collects, uses, discloses, retains, and protects Personal Information when you visit the Site or request or receive insurance-related services. This Privacy Policy is also intended to serve as Hart Insurance's notice of insurance information practices under Arizona law.

Hart Insurance is an independent insurance agency owned and operated by Cameron Hart, Arizona insurance producer license 17302992, and is affiliated with Insurance Professionals of Arizona. Hart Insurance serves customers throughout Arizona.

Hart Insurance does not sell Personal Information. We use and disclose Personal Information only as described in this Privacy Policy, as you direct or authorize, and as otherwise permitted or required by law.

Definitions

For purposes of this Privacy Policy:

Insurance Support Organization means a person or entity that regularly collects or provides information for insurance transactions, including consumer reporting agencies, claims databases, motor vehicle record providers, inspection services, and similar organizations.
Personal Information means information that identifies, relates to, describes, or can reasonably be linked to an individual. It includes nonpublic personal information and personal or privileged information collected in connection with an insurance transaction.
Services means our insurance quoting, comparison, application, placement, servicing, renewal, claims-assistance, and related agency services.
Site means hartinsuranceaz.com and the pages and forms Hart Insurance operates on that website.
You or your means the person who visits the Site or requests or receives Services, and any person whose information is provided in connection with an insurance transaction.

Scope of this Privacy Policy

This Privacy Policy applies to information collected through the Site, contact forms, phone, email, and text communications; through the optional Canopy Connect policy-sharing link and appointment-scheduling link; and in connection with quotes, applications, policies, renewals, billing questions, and claims assistance. It applies to applicants, customers, former customers, policyholders, insureds, and other individuals whose information is provided in an insurance transaction.

This Privacy Policy does not govern insurance carriers or third-party websites and services that have their own privacy notices. Their practices are governed by their notices and by any agreements or authorizations that apply to your use of those services.

Collecting and Using Personal Information

Types of Personal Information We Collect

Depending on the product or Service you request, we may collect:

Identifiers and contact information, such as name, mailing address, email address, telephone number, date of birth, driver's license or other identification information, and signature.
Insurance and transaction information, such as insurer and policy information, policy numbers, coverage, limits, deductibles, premiums, billing or payment-related information, claims and loss history, renewal dates, and application status.
Property, vehicle, and household information, such as property addresses and characteristics, vehicle identification numbers, drivers and household members, ownership or lienholder information, and information about valuable property or other insured risks.
Underwriting and eligibility information, such as motor vehicle records, prior insurance history, consumer reports or credit-based insurance information, inspection or property reports, occupation, and other risk information relevant to the coverage requested.
Life-insurance information, when applicable, such as health and medical history, prescription information, tobacco use, lifestyle or occupational risk information, financial information, beneficiary information, and other information required for underwriting. Medical information is collected or disclosed only with appropriate authorization or as otherwise permitted by law.
Communications and preferences, such as questions, documents, emails, call or text records, appointment details, communication preferences, and text-message consent or opt-out records.
Website and device information, such as IP address, browser and device type, operating system, referring page, pages requested, date and time, and security or server-log information.

Sources and Collection Methods

Personal Information may be collected from you and from persons or sources other than you. Depending on the insurance transaction, sources may include:

You, members of your household, insureds, beneficiaries, and persons you authorize to act for you.
Insurance companies, prior insurance producers, Insurance Professionals of Arizona, and other persons involved in quoting, placing, underwriting, or servicing coverage.
Insurance Support Organizations and consumer reporting agencies, including motor vehicle records, claims-history databases, insurance-score providers, property or inspection reports, public records, and fraud-prevention sources.
Medical professionals, medical-information services, prescription databases, and other sources authorized by you when relevant to life insurance or another product requiring medical information.
Canopy Connect, if you choose to authorize its secure connection to retrieve policy and coverage information from your insurance company.
The Site, our contact form, appointment-scheduling services, and vendors that support our agency operations and communications.

Collection techniques may include reviewing applications and documents; interviewing or communicating with you or an authorized person; using an electronic connection you authorize; requesting consumer reports, motor vehicle records, claims reports, or other database records; and arranging inspections, appraisals, or medical underwriting where appropriate and permitted by law. Separate disclosures or authorizations will be provided when required.

Information obtained from a report prepared by an Insurance Support Organization may be retained by that organization and disclosed to other persons as permitted by law.

Information Collected Through the Site

The Site does not currently use analytics, advertising pixels, or nonessential tracking cookies. Our hosting and form-processing services may receive standard technical information, including IP address, browser information, submission date and time, and security logs.

If you leave the Site to use Canopy Connect or the appointment scheduler, those services may use cookies or similar technologies under their own privacy policies.

How We Use Personal Information

We may use Personal Information to:

Answer questions; review existing coverage; prepare comparisons and quotes; submit applications; and facilitate underwriting, issuance, and binding of coverage.
Service policies, process requested changes, conduct renewal reviews, assist with billing and claims questions, and maintain customer and prospect records.
Verify identity, eligibility, and information; detect or prevent fraud, material misrepresentation, security incidents, or other unlawful activity.
Schedule appointments and communicate by mail, email, telephone, or text about your request, coverage, policies, renewals, documents, or other customer-care matters.
Operate, secure, troubleshoot, and improve the Site and our agency operations.
Comply with insurance, licensing, recordkeeping, legal, regulatory, audit, and reporting obligations; resolve disputes; and enforce agreements.
Send information about Hart Insurance's products or services where permitted by law and consistent with your choices.
Carry out another purpose disclosed when information is collected or that you authorize.

How We Disclose Personal Information

Except with your written authorization or as otherwise permitted or required by law, we do not disclose personal or privileged information collected in connection with an insurance transaction. Common disclosures may include:

Insurance companies, producers, and support organizations, to obtain quotes, determine eligibility, underwrite or issue coverage, administer transactions, service policies, assist with claims, or detect and prevent fraud.
Insurance Professionals of Arizona, for carrier access, placement support, compliance, and agency operations.
Service providers, to perform business, professional, technology, security, communications, records-management, payment, inspection, appraisal, or insurance functions for us. They may use information only as necessary to perform those functions or as otherwise permitted by law.
Medical professionals or institutions, where permitted and reasonably necessary to verify insurance coverage or benefits or perform another lawful insurance function.
Insurance regulators and governmental authorities, when permitted or required by law, to respond to legal process, or to prevent or prosecute fraud or illegal activity.
Professional advisers, such as attorneys, accountants, auditors, and consultants, where reasonably necessary and subject to duties of confidentiality.
Parties to a business transaction, in connection with a proposed or completed sale, transfer, merger, or reorganization of all or part of our business, subject to applicable confidentiality and use restrictions.
Other persons at your direction or with your consent.

We do not sell Personal Information and do not disclose Personal Information to third parties for their own marketing. If our information-sharing practices materially change, we will provide any notice and choice required by law before the change applies to your information.

Third-Party Services Used in Connection with the Site

The following services are currently relevant to the Site and our online workflows:

Netlify. Netlify hosts or supports the Site and processes contact-form submissions. Its privacy policy is available at netlify.com/privacy.
Google Fonts. Google provides the Site's web fonts and receives technical request information needed to deliver them. Google's privacy policy is available at policies.google.com/privacy.
Canopy Connect. If you choose the secure policy-sharing link, Canopy Connect connects to your insurer with your permission and retrieves policy, account, coverage, claims, billing, and related insurance information for delivery to Hart Insurance. Canopy Connect may collect the authentication information required by your insurer to make that connection. Its privacy policy is available at usecanopy.com/privacy.
AgencyZoom and Nylas. The appointment link routes to a scheduler provided through AgencyZoom and powered by Nylas. These services may process your name, contact information, appointment selection, time zone, and related scheduling data. AgencyZoom also supports customer and prospect records and agency operations. Their privacy notices are available from AgencyZoom and Nylas.
Anthropic (Claude API). We use Anthropic's Claude service solely through an API connection for internal analytics and operational support. Claude may process Personal Information only as necessary to perform those functions on our behalf and is not used as a customer-facing chatbot, for advertising, or to make final underwriting, pricing, coverage, or claims decisions without human review. Anthropic does not use Claude API inputs or outputs to train its models unless we expressly authorize that use. Anthropic's privacy policy is available at anthropic.com/privacy.
Atlassian (Loom). We use Loom to record, host, and share video proposals and related client communications. Loom may process video and audio content, screen recordings, transcripts, proposal titles, recipient information, and viewing or engagement data as necessary to provide those services on our behalf. We do not provide this information to Loom for its own marketing. Atlassian's privacy policy is available at atlassian.com/legal/privacy-policy.
Lightspeed Voice. We use Lightspeed Voice to provide VoIP telephone and related communication services. Depending on the features enabled, Lightspeed Voice may process names, contact information, telephone numbers, call-routing and call-detail records, voicemails, call recordings, transcriptions, and related communications data as necessary to provide and support those services on our behalf. We do not provide this information to Lightspeed Voice for its own marketing. Its privacy policy is available at lightspeedvoice.com/privacy-policy.

We also use service providers for agency management, quoting, client records, document storage, telephone, text messaging, email, security, and other business functions. These providers may process Personal Information on our behalf only as needed to provide their services or as otherwise permitted by law.

Text Messaging

If you provide a mobile number and consent to receive text messages, Hart Insurance may send informational or customer-care messages about your inquiry, coverage, policy changes, renewals, documents, billing, or claims. Message frequency varies. Message and data rates may apply. Consent is not a condition of purchase. Reply STOP to opt out or HELP for help.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-message opt-in data and consent will not be shared with third parties, except service providers that process them solely to operate the messaging program and are prohibited from using them for marketing or promotional purposes.

Supported carriers include AT&T, Verizon Wireless, T-Mobile, Sprint, Boost, U.S. Cellular, MetroPCS, and others. Wireless carriers are not liable for delayed or undelivered messages. Message delivery is subject to your carrier's network and isn't guaranteed. Full program details are in the Messaging Terms.

Retention of Personal Information

We retain Personal Information for as long as reasonably necessary to provide the Services, maintain the customer or prospect relationship, and fulfill the purposes described above, and for any additional period required or permitted by applicable insurance, licensing, recordkeeping, tax, fraud-prevention, litigation, carrier, or agency-network requirements. Retention periods vary based on the type of record and the insurance transaction involved.

When information is no longer required, we take reasonable steps to delete, destroy, or deidentify it, subject to legal holds, backup cycles, technical limitations, and third-party retention requirements.

Security of Personal Information

We use reasonable administrative, technical, and physical safeguards designed to protect Personal Information, including access controls and limiting access to persons who need the information to perform authorized work. We also seek to use service providers appropriate to the sensitivity of the information they process. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Email and ordinary text messages may not be appropriate for highly sensitive information. If you prefer not to email policy documents or other sensitive records, use the secure policy-sharing link or contact us to arrange another method.

Your Rights and Choices

Access to Recorded Personal Information

Arizona law gives certain individuals the right to access recorded Personal Information that we can reasonably locate and retrieve. After proper identification and a written request that reasonably describes the information, we will respond within 30 business days. The response may describe the information, provide a copy, identify recorded recipients or categories of usual recipients, identify institutional sources, and explain correction procedures. A reasonable copying fee may apply. Medical-record information may be provided through a medical professional as allowed by law.

Correction, Amendment, or Deletion

You may submit a written request to correct, amend, or delete recorded Personal Information. Within 30 business days, we will take the requested action or explain our refusal and your right to file a concise statement of disagreement.

These access and correction rights do not extend to information collected in connection with, or in reasonable anticipation of, a claim or civil or criminal proceeding. Other legal and regulatory exceptions may also apply.

Communications Choices

Text messages: reply STOP to any message. You may reply START to resubscribe.
Marketing emails: use the unsubscribe link in the email or contact us. You may still receive nonpromotional service or transaction communications.
Other requests: contact us to request access, correction, or deletion, or to update your communication preferences. We may verify your identity and authority before acting.

Children's Privacy

The Site is not directed to children under 13, and we do not knowingly collect Personal Information directly from a child under 13 through the Site. Information about minors may be provided by a parent, guardian, policyholder, or other authorized person in connection with an insurance transaction, such as information about a teen driver, insured child, or beneficiary. We handle that information under this Privacy Policy and applicable law.

Links to Other Websites

The Site may link to websites or services not operated by Hart Insurance. We do not control their privacy or security practices. Review the privacy notice of any third-party service before providing information to it.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the revised version on the Site and update the date at the top. If a change materially affects how we use or disclose previously collected Personal Information, we will provide any additional notice or choice required by law.

Nothing in this Privacy Policy changes the terms, conditions, exclusions, or coverage of any insurance policy. The policy issued by the applicable insurance company governs coverage.
